Terms of service
Last updated 13 October 2026
Vaki is provided by Helgi Þór Jóhannsson, kennitala 040292-3229, Hraunbær 35, 810 Hveragerði, Iceland, [email protected].
These terms are between us and the operator, the tour company using Vaki. They are not the terms a guest agrees to. A guest chatting on an operator's website is covered by the privacy policy and by that operator's own terms.
What Vaki is
Vaki answers questions from your customers, in their own language, on your website and on the messaging channels you connect, using the information you give us about your business.
Vaki answers from your own information. It does not search the internet and it does not draw on general knowledge about your industry. If the answer is not in what you have given it, it passes the question to you.
What you are responsible for
- The information you give us. Vaki repeats your prices, your age limits and your policies. If those are wrong, Vaki will be wrong, confidently and in several languages. Keeping them current is yours.
- Telling us what Vaki must not say. You can give Vaki rules: subjects that always go to a person, and things it must never say. We enforce them in code rather than by asking politely. What goes on that list is your decision, because only you know your business.
- Your guests. They are your customers. You are the data controller for their information and we act on your instructions.
What we are responsible for
- That Vaki's figures come from your data. Every figure Vaki gives comes from your own data or from what the guest told it.
- That Vaki never judges safety. It will not tell a guest that a road is passable or that a departure is going ahead. This is not configurable, because it is the one failure that could hurt somebody.
- That your rules are applied. If you say Vaki must never discuss something, a reply that breaks that rule is not sent.
- That you are told when Vaki cannot answer. When Vaki cannot answer, you get the question and the whole conversation.
What we do not promise
- We do not promise Vaki is always available. It depends on services we do not control, including the AI provider, the hosting provider and your messaging platforms. There is no uptime guarantee in these terms.
- We do not promise Vaki is always right. It can misunderstand a question or give a true fact in answer to a different one. It is a front desk assistant, not a member of staff.
- Vaki is not professional advice. Nothing it says is safety, medical, legal or financial advice.
Bookings
If you connect your Bókun account and switch bookings on, a guest can book in the chat. Vaki reads availability and price from Bókun, shows the guest the exact details, and only after the guest confirms them is the booking made, in your Bókun account. Bókun holds the booking and sends the confirmation. Vaki does not take payment.
If you have not connected a booking system, Vaki does not take bookings on your behalf. It answers questions about availability and price from the information you give it, and passes anyone who wants to book to you.
We never handle payment, and that is permanent rather than a current limitation. Guests pay you directly or through your booking provider's own page. No card details pass through us at any point.
Safety and conditions
You remain responsible for every decision about whether a tour runs.
Vaki will not tell a guest that a road is passable, that conditions are safe, or that a departure is going ahead, in any circumstances. Those questions are passed to you and to the official sources, and this cannot be configured or switched off.
Nothing Vaki says is a substitute for your own assessment, your guides' judgement, or the official warnings from Veðurstofan, Vegagerðin and SafeTravel.
What it costs
Vaki is charged monthly per operator, at one of the four fixed prices shown on vaki.chat: Starter $89 or EUR 79 (up to 250 customer replies a month), Small $159 or EUR 145, Medium $289 or EUR 255, and Large, with phone, $769 or EUR 685 a month. Small is a founding price for the first companies. The first 14 days are free on every plan. To start, you add a card: nothing is charged until day 15, and if you cancel before then you pay nothing. If you pay by invoice instead, the first invoice is sent after the 14 days. You are invoiced by email and pay by bank transfer, or you pay Starter, Small or Medium by card through Paddle, which sells card orders as merchant of record. A card price is the same final amount, with any VAT Paddle has to charge already inside it. Get started.
Prices are final. The price on vaki.chat is the amount on the invoice.
We will tell you before any price change, and it will not apply to a period you have already paid for.
Ending it
You can stop using Vaki at any time, with notice to the end of the month you have paid for. We will not hold your data hostage: ask and we will delete it.
We may suspend the service if it is being used to break the law, to harm someone, or in a way that threatens the service for other operators.
If something goes wrong
Tell us at [email protected]. We will fix what can be fixed.
Beyond that:
- Our total liability to you is limited to what you have paid us in the three months before the claim.
- We are not liable for indirect losses: lost profit, lost bookings, lost goodwill, or business interruption.
- You are responsible for the information you give us. If Vaki correctly repeats a price, an age limit or a policy that was wrong in your own data, that is not a failure of the service.
- Nothing here limits liability that cannot lawfully be limited, including for death or personal injury, for gross negligence, or for anything done deliberately. Icelandic and EEA law decides that, not this document.
Governing law
These terms are governed by Icelandic law, and disputes go to the courts of Iceland.
